What’s New in May 2025

In this round of What’s New, we’ve got loads of new features for you since the last update. Some of these were added earlier in the year, so feel free to skip over anything you’re already using.

⚡ Zapier comes to town

Starting off with a big one, Zapier is now available to use with Acrual!

With Acrual + Zapier, you can create powerful workflows (called Zaps) that are triggered by actions within Acrual (like creating a new quote), or actions in other platforms like Microsoft Office or Google Workspace etc. Think of it as a way to tie all your different systems together to automate repetitive manual tasks.

Some examples of what you can do:

  • Send an email alert to everyone in your team when a job is commissioned.
  • Create a job card document in your cloud storage when a job is commissioned.
  • Create a draft email in Outlook/Gmail when an invoice or purchase order is created in Acrual. This makes it super easy to send from your own Inbox (if you prefer to send the emails yourself instead of using Acrual directly).
  • Create a todo list of tasks in Trello when a job is created.
  • Schedule an appointment in your calendar when a quote is created.
  • And many more!

The opportunities for automating workflows are endless - all you need is to think about what manual processes you do every day, and a little bit of inspiration from the Zapier examples. Zapier supports over 8,000 apps now, so the systems you are using are likely supported.

🚦 View the status of variations while estimating

Did you ever find yourself forgetting to follow up pending variations with the client to be approved or declined? There has always been a table under the job page that shows the status of all variations, but this can be a little bit hidden away, and you have to specifically go and look at it.

Well now it’s easier than ever to see at a glance. You will find a small coloured disc that shows on each variation in the Estimating page. Orange means the variation is Pending, red is Rejected, and green is Approved.

📃 Client variation report for a job

Has a client ever requested a full list of all variations for a job to date? This usually happens with larger projects that span months or years.

Previously you would have to manually compile a spreadsheet or document copied from the Acrual variations job page to send to the customer, as you wouldn’t want them to see the cost and charge prices together.

Now you can simply generate a client variation report for the job directly and send it off. To find this report, go to the Reports page, make sure you have the right job marked as active and click the View button for the Client Variations Summary report.

🔄 Purchase orders syncing to MYOB

Purchase orders are now syncing automatically to MYOB. Previously only invoices would be sent across to MYOB. You should see purchase orders appear within seconds inside MYOB upon creating or updating them.

If you don’t see them coming through, make sure your MYOB connection is active by going to the Settings page -> Integrations tab -> MYOB Setup Integration button. Find out more here on setting up MYOB and Acrual. Also make sure your Sync Start Date setting is a date prior to the creation date of the purchase order, and you have purchase order syncing enabled.

⚙️ Control which types of items sync

In the past, if you had the Xero or MYOB integration connected and enabled, every type of item supported for that integration (e.g. invoices, purchase orders, time sheets) would try and synchronise whenever created or updated.

Well now you can cherry-pick exactly which types of items will be synchronised giving you fine control over the behaviour. For example, if you only want invoices to synchronise to Xero, you can configure the settings exactly as you like.

📧 Choose how your emails appear

This setting was added quite a while ago, so you may have already come across it.

Previously all emails that were sent from Acrual would have the sender details based on the currently logged in user. This means if your Acrual user’s name was John Smith, the name and email address would show to the receiver as John Smith <john@company.com>.

With the introduction of this setting, you can now control if emails will be sent as usual with the user’s details, or with the company details instead. If you select Company, the details the client or supplier sees will instead look like The Demo Company <info@thedemocompany.com>.

🌐 More countries, more possibilities

This may affect people who do work overseas or internationally.

You can now select more countries from the country menu for clients and suppliers. Previously only Australia was available as an option. You can now select from Australia, Canada, Ireland, New Zealand, South Africa, United Kingdom & United States.

💲 Work in your currency, not just dollars

This one may not be of interest to most people, but if it is, it’s a big deal for you.

Acrual supports multi-currencies now. Previously everything was set to dollars and there was no way to change this. With the introduction of currency selection, you can now change the currency used across Acrual to something else. Supported currencies are the Australian Dollar, Canadian Dollar, Euro, British Pound Sterling, New Zealand Dollar, US Dollar and South African Rand.

This is a global setting and is only able to be changed for your whole account. If you have any other requirements in mind, please reach out.
